About this role

The Overseas Virtual Assistant will provide administrative, customer service, and operational support to the personal lines insurance team. This role ensures smooth daily workflow by assisting with policy processing, client communication, documentation management, and follow-up activities. The ideal candidate is highly organized, detail-oriented, comfortable working with insurance systems, and able to deliver professional service in a fast-paced environment.

Key Responsibilities

Closing

Obtain payment information from the Account Manager.
Confirm policy effective dates.
Bind policies for home, auto, umbrella, PAF, and other applicable lines.
Download RCEs, applications, policies/DEC pages, and invoices (when provided by the carrier).
Create invoices in EZLynx when the carrier does not provide one.
Prepare endorsement checklists for home, auto, or both as needed.
Upload all documents into EZLynx, create a signature envelope, and send applications and checklists to the customer for signatures.
Send auto ID cards, policy documents, receipts, and related materials to the customer.
For loan closings, send RCE, policy/DEC page, and invoice to the processing team, then upload the sent email to customer documents.

Maintenance

Monitor EZLynx for signed applications and endorsement checklists; follow up on missing documents.
Download signed applications and upload them to the carrier when required.
Track leads for the Account Manager (if applicable).
Update closing dates as needed and send revised policy documents to loan officers or processing teams.
